Property Manager
RESPONSIBILITIES:

Annual Management Plan:
  • Prepare the annual management plan and budget for assigned properties with the established goals and objectives of the owner and assist Senior Property Manager.

Marketing/Leasing:
  • Work with Director of Leasing on all new or renewal leasing activities for all assigned properties.
  • Assure vacancies are ready and in "show condition.”
  • Show vacancies and hand out brochures when Director of Leasing is unavailable.

Project Operations:
  • Assure that the management plans for assigned properties are being successfully implemented.
  • Responsible for the day-to-day operations and maintenance of assigned properties including implementation of energy conservation measures, where possible.
  • Conduct weekly property inspections to assure professional standards of property conditions are maintained to increase long term property value and to prevent potential insurance risks. 
  • Meet with Regional Director on a weekly basis to discuss the TI and Cap Ex projects at the property as well as standard operational issues.

Emergency Procedures:
  • Correct fire/life safety violations immediately.
  • Oversee Property Assistant in maintaining current and accurate safety information manuals, provide all tenants with building safety information upon move-in and conduct tenant programs in emergency procedures education.
  • Establish emergency preparedness policies and procedures and review semi-annually with Senior Property Manager and Property Assistant.

Lease Administration:
  • Administer all tenant leases to assure full compliance with the lease provisions.
  • Supervise Property Assistant in the established comprehensive lease and operational files in accordance with the standard company file system which contains all addendum and tenant correspondence.

Tenant Relations:
  • Supervise Property Assistant in the following areas:
  • Provide timely and professional response to tenant requests.
  • Establish and monitor a follow-up review of the response to tenant requests.
  • Coordinate an active tenant relations program commensurate with the project tenant mix by meeting with at least 4 tenants per week along with the Property Assistant.  
  • Follow-up on all punch list items to ensure prompt completion.
  • Oversee all management duties of the Executive Suite floors working directly with the Lessee. 

Accounting/Financial
  • Bid, negotiate, execute and monitor all necessary vendor contracts for the assigned properties.
  • Ensure that invoices are approved in accordance with document approval guidelines.
  • Supervise Property Assistant in administering delinquent receivable collections and coordinate appropriate legal actions to collect delinquent funds and to gain possession of delinquent tenants' suites.
  • Complete all CAM reconciliations within the first quarter of each calendar year. Review and approve tenant ledger set-up and other rent roll information and submit to Senior Property Manager or Regional Director.
  • Maintain current rent roll.
  • Prepare other analysis as required.
  • Prepare owner's narrative, variance analysis, tenant delinquency update, and other property required reports.

Partner/Client Relations and Reporting:
  • Understand the property management agreements for assigned properties.
  • Assure that all obligations of the property management agreements are met, including the preparation of operational and marketing reports.
  • Prepare materials and presentations, as requested, for owners' meetings and property reviews.

Tenant Improvements/Capital Improvements and Repairs:
  • Coordinate all tenant improvements, capital improvements and capital repairs under 5,000SF along with Senior Property Manager or Regional Director to include the following duties:
  • Oversee entire bid process from obtaining three bids to award of contract on jobs under 5,000SF. Prepare Cap Ex Approval Forms and forward to Asset Manager for review.  Obtain contractor, owner, or owner's agent signatures when required along with Regional Director.
  • Supervise improvements, required change orders, track job costs, obtain approval where needed for additional work, and bill tenants when appropriate.
  • Walk space with contractor to prepare punch list items.
  • Obtain and keep accurate "as built" plans (architectural, structural, mechanical, electrical and plumbing) for tenants and common areas.
  • On all requests for construction, assure adequacy of plans, verify contractors and contractors' insurance.  Obtain construction approval agreements and permits.  Inspect premises during construction, posting notices of Non-Responsibility, when applicable.
  • Assure that BAP invoices the owner for all construction management fees permitted for the construction work conducted on assigned properties and collects same.

Personnel Management/Development (if applicable):
  • Implement goals and objectives within thirty (30) days of hire for all new subordinate personnel on assigned properties.
  • Supervise existing contractors.  Provide assistance, as requested by the Regional Director or the Asset Manager, in regional personnel and property issues.

Special Projects:
  • Participate in special projects periodically assigned by the Senior Property Manager or the Regional Director.

Personal/Professional Development:
  • Continually develop and enhance professional skills and credentials by participating in IREM, BOMA, NAIOP, ICSC, any real estate organization, professional seminars or associations.

QUALIFICATIONS:
  • Bachelor's Degree in a related field.
  • Minimum of 3 years of experience at the assistant property management level or should have at least 7 years in the industry, or equivalent combination of education and experience.
  • Capex / TI, general accounting / operational experience is required. 
  • Must hold a valid CA real estate license.
  • CPM, RPA or CSM designation preferred.
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Strong communication skills, both oral and written.
  • Strong organization and people skills.
  • Must be detail-oriented, flexible, and multi-task oriented.
