Operations Associate
Growing investment management firm and multi-family office is seeking an Operations Associate to join its Investment Operations team. This individual will play a critical role in supporting the day-to-day operational functions of the investment process, including documentation management, custodian coordination, data tracking, and compliance-related activities. This is an excellent opportunity for a motivated professional to contribute to a high-performing team in a dynamic and fast-paced environment.
Responsibilities:
- Manage and organize investment-related documentation, ensuring timely distribution to relevant stakeholders
- Liaise with custodians, fund administrators, and service providers to ensure seamless operations
- Track, reconcile, and archive account statements and investment communications
- Support the onboarding and offboarding of investment managers and strategies
- Assist with compliance and legal processes related to investment activities (e.g., AML, documentation, tax forms)
- Maintain calendars and coordinate meetings or calls with investment managers
- Track updates on investment-related changes (e.g., amendments, elections, notices)
- Reconcile documentation across digital and physical formats to ensure accuracy and consistency
- Provide support for tax reporting and year-end investment processes
- Assist with various operational projects and contribute to process improvements across the team
Qualifications:
- Bachelor’s degree in a related field
- 2+ years of professional experience in financial services, operations, or related field
- Strong proficiency with Microsoft Office, especially Excel, Word, and Adobe
- Exceptional organizational skills and attention to detail
- Strong communication skills, both written and verbal
- Ability to manage multiple priorities in a fast-paced environment
- Team-oriented with a proactive and self-starting approach
- High ethical standards and respect for confidentiality
- Prior experience in investment management, family office, or wealth management operations
- Familiarity with private investments, custodial platforms, or compliance documentation is a plus
