Office Manager - Family Office


Responsibilities:


  • Manage the office budget, including vendors, maintenance, repairs, office supplies and other purchases that need to be made for the office.
  • Maintain inventory of office supplies.
  • Oversee the cleanliness of the office
  • Schedule additional cleaning services with the building as needed.
  • Act as the liaison between the building management
  • Coordinate incoming & outgoing mail.
  • Support the development and implementation of office related policies and procedures.
  • Prepare workspaces for new employees and provide office tours.
  • Greet and host clients and guests.
  • Manage the main phone line, transfer calls, and take messages as needed.
  • Ensure the reception area is clean and stocked to welcome clients and guests to the office.
  • Support the hosting of office events by helping staff to prepare for and run the event, which may include sourcing supplies, ordering catering, and greeting and directing guests, as needed.
  • Work with leadership to coordinate logistics on assigned office expansions or improvements.
  • Participate in company and team meetings.
  • Other projects as assigned to support the business strategy and growth.



Qualifications:


  • 3+ years of experience in an Office Manager or other closely related role
  • Bachelor's Degree is preferred but not required
  • Experience in a wealth management firm, law firm, or another similar industry in a client facing role
  • Experience setting and implementing internal systems and policies
  • Experience managing an approved office budget
  • Experience with sourcing and vetting suppliers or vendor
  • Proficient in MS Office Suite
  • Experience with coordinating meetings and event planning
  • Strong time management skills with the ability to manage competing priorities.
  • Strong organizational skills, problem solving, and attention to detail.
  • Strong communication skills, both written and verbal
  • Ability to identify areas for improvement and to take initiative to seek approval and implement the improvements.
