Violations Coordinator - Real Estate/Property Management


We are seeking a highly organized Violations Coordinator to support compliance efforts across a real estate portfolio. This role is responsible for tracking, managing, and resolving building and regulatory violations while ensuring properties remain compliant with local agency requirements. The ideal candidate is detail-oriented, proactive, and experienced in navigating complex compliance processes.


Responsibilities:


Compliance Tracking & Management

  • Monitor and track all compliance-related items across a portfolio, ensuring timely completion
  • Coordinate required inspections including fire safety, boilers, elevators, sprinkler systems, and façade compliance
  • Maintain accurate records of inspection schedules, certifications, and deadlines

Violations Resolution

  • Manage the full lifecycle of violations from issuance through resolution and close-out
  • Research and respond to violations issued by local agencies (e.g., building, fire, environmental, and housing authorities)
  • Prepare and submit documentation required for violation removal and compliance

Reporting & Documentation

  • Maintain detailed records and reporting on violations, compliance status, and resolutions
  • Track progress and provide regular updates to internal stakeholders
  • Ensure all documentation is organized, accurate, and audit-ready

Cross-Functional Coordination

  • Partner with property management, facilities, and external vendors to resolve compliance issues
  • Support communication with commercial tenants regarding lease compliance requirements
  • Assist with administrative and operational tasks related to compliance initiatives


Qualifications:

  • 2-4+ years of experience in property management, compliance, expediting, or a related field
  • Familiarity with building codes, regulatory compliance, and violation processes
  • Strong organizational and multitasking abilities
  • Experience managing permits, inspections, and violation removal processes
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Excellent written and verbal communication skills
  • Detail-oriented
  • Ability to manage multiple priorities in a fast-paced environment
  • Problem-solver with a proactive mindset
  • Strong interpersonal skills with the ability to work cross-functionally
