Family Office Administrator
A private family office supporting a multi-generational high-net-worth family is seeking a highly organized and detail-oriented Administrator to support daily operations. This role is central to maintaining efficient systems, accurate financial reporting, and seamless coordination across family members and trusted advisors.
The ideal candidate is discreet, analytical, and comfortable working in a fast-paced, confidential environment. In addition to administrative and financial responsibilities, this role will assist with planning and hosting corporate events, including outdoor and sportsman-oriented activities.
Responsibilities:
Financial & Investment Support
- Track and report on private equity and investment portfolios
- Maintain accurate, confidential financial and family records
- Support basic accounting functions including bookkeeping, reconciliations, and reporting
- Analyze data and prepare reports using Excel and related tools
Operations & Administration
- Manage documents, workflows, and internal systems to improve office efficiency
- Prepare presentations and materials for family members
- Coordinate meetings, travel, and general office logistics
Philanthropy & Events
- Support philanthropic initiatives, including grant tracking and reporting
- Assist with planning and hosting corporate and family events, including outdoor gatherings
Confidentiality & Professionalism
- Handle sensitive information with the highest level of discretion
- Communicate professionally with family members, advisors, and external partners
Qualifications:
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field
- 3-5 years of experience in a high net worth/family office, wealth management, or similar environment.
- Strong Excel and analytical skills
- Working knowledge of basic accounting and financial reporting
- Proficient in Microsoft 365 and cloud-based tools (OneDrive, SharePoint)
- Highly organized, detail-oriented, and proactive
- Strong communication and interpersonal skills
- Experience in private equity, investment management, family offices, or professional services preferred
- Experience with philanthropy, nonprofits, or foundations a plus
- Comfortable supporting outdoor, sportsman-oriented events
- Willing to travel domestically 5–6 times per year
