Job Description
Executive Assistant – Family Office
Rapidly growing Investment Management Firm & Family Office is seeking an Executive Assistant to support the CEO alongside a Senior Executive Assistant.
Responsibilities:
- Maintain schedules in both Outlook and Word
- Anticipate the team’s needs with all communications, tasks, meetings, and projects
- Coordinate meetings, calendar management, expense report management
- Assist with complex business and personal travel arrangements for the CEO and other key team members; create detailed itineraries and agendas as necessary
- Prepare internal and external correspondence, presentations, reports, and other documents
- Partner with other key team members to schedule offsite meetings
- Attend meetings to document discussions, action items and critical dates
- Assist with personal matters, including but not limited to, domestic and international travel, vehicle maintenance, insurance, household errands, etc.
- Provide support to accounting as necessary with personal account maintenance and expense coding
- Assist with event planning and coordination for corporate and personal events
Qualifications:
- Bachelor’s Degree
- 3+ years of experience supporting c-level executives and/or senior investment professionals
- Strong administrative and organizational skills, including experience with travel arrangements
- Experience dealing with diverse groups of people, including board members, investors, senior executives, family members, etc,
- Make appropriate, informed decisions regarding the CEO’s priorities and schedule
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
- Ability to handle confidential and sensitive information with the utmost discretion
- Ability to complete a high volume of tasks and projects efficiently with limited guidance
- Strong degree of professionalism
- Ability to effectively multitask and prioritize
- Strong time management skills
- Strong verbal and written communication skills
- Proactive approach to problem-solving with strong decision-making skills
- In-depth understanding of entire MS Office suite, Google Docs, Google Sheets, Zoom and Teams
