Director of Finance/Accounting – Family Office
A Chicago-based family, currently comprised of four households spanning three generations with $1B+ in assets, is looking for a seasoned accounting and finance professional to help build its single-family office. The family currently is served by an established multi-generational single-family office and private trust company and is in the process of separating its investments from the overall family holdings. As part of a multi-year transition, the Director will work with the existing family office team, and the family’s investment, legal, and tax professionals to deliver best in class service to the family.
The Director will be responsible for helping to prepare, analyze and manage all aspects of accounting, cash management, and financial reporting for various family-owned entities, investment partnerships, trusts, charitable organizations, and individual family members. The Director will be responsible for helping to prepare, analyze and manage all aspects of accounting, cash management, and financial reporting for various family-owned entities, investment partnerships, trusts, charitable organizations, and individual family members. The Director will be responsible for ensuring the accuracy of accounting and investment records and protection of assets by evaluating, monitoring, and enforcing internal controls. The Director will have direct contact with family principals and, over time, will work to build and manage a small internal team.
Responsibilities:
- Execute upon the timely and accurate preparation of consolidated financial and investment reports.
- Translate each family’s short and long-term planning goals into actionable work plans and serve as project manager and hands-on executor, partnering with internal and external partners (financial, legal, tax, etc.) as needed.
- Prepare ad hoc reports by collecting, analyzing, and summarizing data.
- Provide cash management analysis, budgeting, and forecasting. Oversee each family’s spending and liquidity needs, ensuring alignment with long-term trust and estate goals across various entities.
- Coordinate the opening of new account documents, including bank, brokerage, loan documents, and subscription agreements.
- Facilitate and track charitable giving via Grants, Foundations, and Donor Advised Funds (DAFs)
- Work with external investment advisors and each family on the ongoing investment strategy for underlying investment entities, including reviewing, approving and monitoring investments and managing cash flow
- Coordinate operational and administrative needs for both public and private markets investments – (transfers, capital calls, distributions, etc.)
- Review and process checks, online payments, ACH transfers, and bank wires.
- Manage household employer payroll function.
- Maintain hard asset inventories and ensure proper insurance coverage is in place.
- Assist family with private aviation services.
- Provide high-level oversight of family real estate projects.
- Assist tax preparer in information gathering and ensure tax payments and filings are made on a timely basis.
- Work closely with accountants, banks, investment custodians, insurance brokers/agents, third party administrators, attorneys, and trusted providers to achieve various objectives within a complex family office structure.
- Maintain security by establishing and enforcing internal controls over cash and investment accounts.
- Perform other duties as assigned.
Qualifications:
- Bachelor’s degree in accounting/finance with CPA certification, Master’s in accounting/tax/business preferred
- 12-15+ years of relevant industry related work experience; previous experience in a family-office setting is a must
- Experience with general ledger, complex partnership, portfolio, and tax accounting.
- Strong understanding of investments including private equity, hedge funds, and private direct investments.
- Demonstrated client service mentality and a sense of urgency.
- Unquestionable personal standards, confidentiality, and ethics.
- Direct experience with trusts, charitable/tax planning, and estate planning strategies required.
- Ability to communicate and interact professionally and effectively.
- Ability to multitask, time management, attention to detail, planning and problem solving.
