Estate Manager
Washington, DC Metro Area
Responsibilities:
- Lead a team (comprised of a Maintenance Manager, Maintenance Assistant, Handyman, and two housekeepers) responsible for maintaining the interior and exterior of a large estate including pool house and gate house.
- A list of tasks the Estate Manager is responsible for is as follows:
- Exterior
- Daily (thorough) inspection/walkthrough of property (grounds, interior/exterior, etc.)
- Complete/oversee repairs and preventative maintenance (maintenance programs for critical mechanical equipment, retaining walls, lighting - day/night, front gate operations, etc.)
- Exterior and interior paint checked for flaking – touch-up as needed (confirm paint w/ Owner)
- Storm monitoring and preparation in accordance w/ best practice checklist
- Interior
- Regularly test AV/IT operations within the home (lighting, cable, Apple TVs, phone system, etc.)
- Check for plumbing problems, drips, leaks, and drywall repairs (and run dishwashers / check appliances to ensure proper operation)
- Maintain cleanliness and operation of all windows and doors
- Review light bulbs, thermostat settings, clocks, etc.
- Ensure garages and workspaces/offices are clean / organized (floors, baseboards, etc.)
- Fireplaces – check pilot lights, monitor for unusual gas odors, and ensure proper operation
- Ensure security systems (including smoke detectors, water sensors, etc.) are working properly
- Administrative
- Complete Owners’ punch lists
- Review the work of and mentor your direct reports
- Maintain detailed understanding of household systems, apps, etc.
- Retrieve mail and parcels from the front entrance
- First responder for the family’s AV/IT troubleshooting
- Ensure all doors are locked and arm the alarm system prior to departing the property
- Maintain inventory of household materials (batteries, light bulbs, COVID tests, water, etc.)
- Manage interior/exterior vendors onsite – communicate/correct problems (as needed)
- Ensure vehicles are properly maintained, cleaned, and ready/safe for family use
- Maintain inventory of attic and garage/closet storage spaces
- Coordinate security detail and communicate hours for payroll purposes
- Produce/maintain weekly reports and calendars and regularly communicate updates to Owners
- Detail review invoices and upload to A/P folder, maintain home manual, and assist with budget
- Assist with the procurement, negotiation, and execution of vendor contracts
- Always ensure safety and security at all times on the estate grounds (including signed VCAs)
Qualifications:
- Career, experienced property management professional with expertise managing high-end estates
- Must be an exemplar professional, excellent communicator, very efficient / have great time management skills, great attention-to-detail, and be very organized
- Must be legally authorized to work in the United States and able to pass a comprehensive background check
This is a full-time position and employee is entitled to employer-paid health, dental, and vision insurance and 401(k) with company match after 3 full months of employment.
